Do I need to upload EPA proof with every order?
No. Do not send certification documents unless CoolNova contacts you. If an order requires verification and acceptable documentation is not already on file, we will request the applicable EPA certification or documentation showing that the purchaser employs a properly certified technician before the order is fulfilled.
When might CoolNova request documentation?
Documentation may be requested when required by federal refrigerant sales restrictions, the product and intended application, the purchaser's role, or the information already associated with the customer account. A repeat customer with valid documentation on file may not need to submit the same material again unless it has expired, changed, or needs clarification.
What documentation may be accepted?
Depending on the order, CoolNova may ask for a copy of an applicable EPA Section 608 or Section 609 technician certification, or documentation showing that the purchasing business employs at least one properly certified technician. Purchases for lawful resale may require business and resale documentation instead. CoolNova will explain what is needed for the specific order.
What happens after checkout?
- CoolNova reviews the order and available customer information.
- If no additional verification is needed, the order continues through normal processing.
- If verification is needed, CoolNova contacts the customer using the order contact information.
- The order is released after the required information is accepted.
- If a required verification cannot be completed, the order may be canceled and refunded.
Why does this process exist?
U.S. EPA refrigerant sales restrictions apply to online and in-person transactions. The seller is responsible for verifying purchaser eligibility when the rules apply and for maintaining required sales records. This page explains CoolNova's customer-facing process; it does not replace legal or regulatory advice.
